The Austrian manufacturer of installations for industrial air purification, the company Scheuch GmbH, uses PRO.FILE as a document management system for both product-related documents and business document flows. Daily practice for engineering departments is managing drawings, models and parts lists. At the same time, there are many documents that are not directly derived from the products and production. No traditional document management system (DMS) is in use for storage and management, but Scheuch now uses PRO.FILE as a central data hub for all business-relevant data and documents.
"Technical Document Management" is the credo of Alois Hoerl, Head of IT at Scheuch GmbH. The full range of work-related data covers: quotations, orders, invoices, correspondence, documents, reports, process-descriptive Excel lists, contracts, etc. are managed in PRO.FILE as a central DMS solution.
Scheuch GmbH is a manufacturer of innovative industrial ventilation, extraction and filtering technology based in Aurolzmuenster, Austria.
For Alois Hoerl, PRO.FILE has a clear advantage over conventional management systems or collaboration platforms such as Microsoft SharePoint. “Because PRO.FILE has its origins in the manufacturing industry, the system can be effortlessly managed in CAD drawings, structures, parts and parts lists and integrated with adjacent systems such as Infor ERP, Microsoft Office and Microsoft Outlook, as well as the self-developed sales tool for calculations and quotations.
Installed and integrated into the existing IT landscape at Scheuch, the system, supplied by the Austrian PRO.FILE partner; Trisoft information management, laid the foundation for a continuous PLM concept, where PRO.FILE as a data hub bundles business-relevant data from different IT systems and archived this data with correct versions and made available to authorized users. A total of 250 users from different departments and disciplines work together efficiently using PRO.FILE.
"We can record and describe structures in PRO.FILE, something that is not possible with conventional DMS systems", describes Alois Hoerl; "The high degree of automation to process structures is also an important added value. Only a fifth of the documents and data relating to an order must be created manually by employees, so the vast majority is automatically processed from the connected systems in PRO.FILE. Incoming documents such as invoices and delivery notes are processed fully automatically.”
The easy transfer of existing data into PRO.FILE was another plus for Scheuch. Using a fuzzy-logic method added by Trisoft, hundreds of thousands of documents were transferred overnight into PRO.FILE with a high degree of reliability.
